Shops have a limit on orders awaiting delivery. This gives sellers room to grow while limiting how many buyers can be left waiting. Check your current capacity and listing status at the top of the Superpanel.
Order capacity
| Completed orders | Orders awaiting delivery |
|---|---|
| 0 | 1 |
| 1–5 | 3 |
| 6–10 | 5 |
| 11–100 | 10 |
| 101 or more | 25 |
Capacity is based on the shop's completed order count, not its public review total. Exactly 100 completed orders gives a capacity of 10; completion 101 increases it to 25. Pending orders across your shop count together. Cancelling a pending order frees a slot, but does not count as a completed order. Refunding a completed order or reopening it for redelivery can reduce your completed order count.
Only mark an order complete after delivering it, with delivery proof. Buyer confirmation and payout release are separate from seller completion.
Marketplace visibility
At capacity, your marketplace listings are hidden until an order is delivered or cancelled. Price does not override this rule. Checkout also checks capacity, so an old cart cannot bypass it. If a payment finishes after the shop stops accepting orders, the order amount is refunded to the buyer's Popbob balance.
Your shop can remain listed indefinitely while offline, including when you are new. There is no 24-hour login requirement. Listings still need valid stock and prices, and banned or delisted shops cannot appear in marketplace results.
Use Settings → Delist from Marketplace when you cannot accept orders. Delisting does not cancel existing orders or remove your responsibility to fulfil them.
Late orders and buyer cancellation
For an ordinary undelivered order, the buyer can cancel once it is over 48 hours old and the seller has not replied to that buyer's Popbob conversation for over 24 hours. If the seller never replied, the response window starts at order creation. A reply from the owner or shop staff starts a new 24-hour response window.
Logging in, updating stock, automated order status events, or replying to a different buyer does not count as a response. Keep delivery arrangements in the order conversation.
For a scheduled delivery, the 48-hour waiting period starts at the scheduled time, or order creation if later. Community orders also respect their agreed delivery deadline before that waiting period. Existing disputes and redeliveries require support review and are excluded from automatic inactivity refunds.
Eligible buyers see Cancel and refund to balance in My Orders. They can cancel or keep waiting. Cancellation refunds the recorded order total to their Popbob balance, not their original payment method. Do not cancel an order you have already received. If a seller marks an order complete and delivery is missing or incorrect, use the dispute process.
The usual 48-hour dispute option remains available regardless of seller replies. Sending a message does not remove buyer protection.
Automatic delisting and returning to sell
When an order becomes eligible for inactivity cancellation, Popbob automatically delists the shop, even if the buyer keeps waiting. An inactivity cancellation also enforces this restriction. The shop owner receives a site notification and an email at their saved email address. A notice explains the restriction when you return to Popbob.
Deliver or cancel all outstanding orders before relisting. Logging in, replying, or toggling the listing setting cannot bypass this restriction. Once no orders remain awaiting delivery, open Settings and select Relist on Marketplace. Your shop stays delisted until you explicitly resume selling.
Before delivering, check that the order is still active. Automated delivery integrations must handle cancellations and stop delivery for cancelled orders. Contact Support if delivery and cancellation overlap or an order needs review.
